    Terms of Service

    Welcome to Vows Afar. By accessing or using our platform, you agree to these Terms of Service ("Terms"). If you do not agree, please do not use the platform.

    1. About Vows Afar

    Vows Afar is a wedding coordination platform that helps couples, guests, and planners organise multi-day, multi-location gatherings. We provide digital tools for scheduling, guest communication, and collaborative planning.

    2. Eligibility

    You must be at least 16 years old to create an account. By using Vows Afar, you represent that you meet this requirement and that the information you provide is accurate.

    3. Accounts

    • You are responsible for maintaining the confidentiality of your login credentials.
    • You are responsible for all activity that occurs under your account.
    • Notify us immediately if you suspect unauthorised access.

    4. Acceptable use

    You agree not to:

    • Use the platform for any unlawful purpose.
    • Upload content that is defamatory, obscene, or infringes on the rights of others.
    • Attempt to gain unauthorised access to other accounts or our systems.
    • Interfere with the platform's operation or other users' experience.
    • Use automated tools to scrape, crawl, or extract data from the platform.

    5. Wedding content

    You retain ownership of all content you upload to Vows Afar (photos, text, schedules, guest information). By uploading content, you grant us a limited licence to store, display, and transmit it as necessary to operate the platform. This licence ends when you delete the content or your account.

    6. Pricing and payments

    • Pricing is per wedding, not per person. Current plans and pricing are listed on our website.
    • Payments are processed securely through our payment provider. We do not store full payment card details.
    • All fees are non-refundable unless otherwise stated or required by applicable law.
    • We reserve the right to change pricing with reasonable notice. Existing weddings will honour the price at the time of purchase.

    7. Planner accounts

    Wedding planners may access the platform through the Planner Partner Membership or as invited collaborators on a couple's Core plan. Planners are responsible for obtaining appropriate consent from their clients before adding personal information to the platform.

    8. Availability and modifications

    We strive to keep Vows Afar available and reliable, but we do not guarantee uninterrupted access. We may modify, suspend, or discontinue features with reasonable notice. We will make reasonable efforts to notify you of material changes.

    9. Limitation of liability

    To the maximum extent permitted by law, Vows Afar shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the platform. Our total liability for any claim shall not exceed the amount you paid us in the twelve months preceding the claim.

    Vows Afar is a coordination tool. We are not responsible for the outcome of any wedding, event, travel arrangement, or vendor relationship facilitated through the platform.

    10. Indemnification

    You agree to indemnify and hold Vows Afar harmless from any claims, damages, or expenses arising from your use of the platform or violation of these Terms.

    11. Music and song suggestions

    Vows Afar allows couples and guests to suggest song titles and curate playlists as part of the wedding planning experience. By submitting song titles, you acknowledge that all suggested content is owned by the respective copyright holders. We do not claim ownership of any music titles or lyrics.

    Users are responsible for the content they submit. By suggesting a song, you confirm that you have the right to share that information and that it does not infringe on any copyright.

    Please note that public performances of suggested songs may require appropriate licensing. We recommend consulting with your venue or music service provider to ensure compliance with applicable copyright and performance licensing requirements.

    11.1 User-generated music content

    Vows Afar does not host, stream, store, or distribute audio recordings. Playlist links and embedded players are provided by third-party services (such as Spotify, Apple Music, and YouTube Music) and are governed by those services' own terms of use. Song suggestions and entry-song guesses submitted by couples and guests are stored solely as plain text (title, artist, contributor name) for the couple's reference and are never reproduced as audio by the platform.

    If you believe that content shared through Vows Afar infringes your copyright or other rights, please contact us at hello@vowsafar.au with details of the content and the basis for your claim. We will review and remove infringing material promptly where appropriate.

    12. AI-assisted design and creative tools

    Some design templates and creative assets we make available — including stationery, card, and other decorative backgrounds — are generated, in whole or in part, using third-party generative artificial intelligence ("AI") tools. Where practicable, we identify these assets within the product.

    12.1 How these assets are produced

    AI-assisted design assets are generated in advance and curated into a library you can choose from. We do not generate them in real time from your personal information, wedding content, or guest data, and we do not use your data to train AI models. See our Privacy Policy for how we handle your information.

    12.2 Your licence to use them

    We grant you a non-exclusive, worldwide, royalty-free licence to use the AI-assisted design assets we provide as part of your own wedding materials. Because purely AI-generated material may not be eligible for copyright protection in Australia, the United States, and other jurisdictions, we do not warrant that any AI-assisted asset is unique to you or that you or we hold exclusive rights in it. Identical or similar assets may be available to other users.

    12.3 No warranty & your review

    AI-assisted assets are provided "as is". Generative AI can produce inaccurate, unexpected, or generic results, and may occasionally output material that resembles existing works. You are responsible for reviewing any AI-assisted asset before you rely on it — for example, before printing it or sharing it with your guests.

    12.4 Acceptable use of AI features

    When using, customising, combining, or sharing AI-assisted content, you must not:

    • Create content that infringes the intellectual-property or other rights of any third party.
    • Depict a real, identifiable person — including any guest or public figure — in a misleading, deceptive, or defamatory way, or as a synthetic or "deepfake" likeness, without that person's consent.
    • Create or distribute content that is unlawful, fraudulent, or misleading to your guests or others.

    12.5 Disclosure when you reuse AI content

    If you reproduce or distribute AI-assisted content outside Vows Afar — for example on printed materials, social media, or paid advertising — you are responsible for any labelling or disclosure required by applicable law (such as Australian Consumer Law and the National AI Centre's guidance on AI-generated content), and by the policies of any platform you publish to.

    12.6 Third-party providers and changes

    AI-assisted assets are produced using third-party AI services whose own terms may apply. We may add, change, withdraw, or replace AI features and assets at any time. Where we use AI-generated or AI-assisted imagery or video in our own marketing, we do so consistently with applicable transparency requirements and advertising-platform policies.

    13. Termination

    You may close your account at any time. We may suspend or terminate your account if you violate these Terms. Upon termination, your right to use the platform ceases immediately. We will make your data available for export for a reasonable period after termination.

    14. Governing law

    These Terms are governed by the laws of the State of New South Wales, Australia. Any disputes will be resolved through good-faith negotiation before pursuing formal proceedings.

    15. Changes to these Terms

    We may update these Terms from time to time. Material changes will be communicated via email or a notice on the platform at least 30 days before they take effect. Your continued use of Vows Afar after the effective date constitutes acceptance.
