Privacy Policy

    Last updated: June 2026

Vows Afar ("we", "our", "us") is committed to protecting the privacy of every person who uses our platform — couples, guests, planners, and visitors alike. This policy explains what personal information we collect, how we handle it, and the choices you have. It is written to meet our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

    1. Information we collect

    Information you provide

    • Account details — name, email address, and password when you create an account.
    • Wedding information — couple names, dates, locations, guest lists, schedules, and any notes you add to your wedding hub.
    • Guest information — names, email addresses, dietary preferences, travel notes, and RSVP responses submitted by or on behalf of guests.
    • Communications — messages you send through the platform or to our support channels.

    Information collected automatically

    • Usage data — pages visited, features used, timestamps, and referring URLs.
    • Device data — browser type, operating system, screen size, and IP address.
    • Essential cookies — for authentication and session management. These do not require consent.
    • First-party attribution analytics — a first-party script loaded from x.vowsafar.au records page views and the referring URL (e.g. the search engine, social platform, or campaign link that brought you here) so we can understand which channels actually help people find Vows Afar. Data is sent to a collector we own and operate at x.vowsafar.au/collect. Before you make a choice on the cookie banner — or if you decline — events are recorded only as anonymous, session-only signals with no persistent identifier. If you accept, we also set a first-party visitor cookie (_fis_vid) so we can recognise return visits from the same browser. We do not run third-party advertising cookies and we do not share this attribution data with ad networks.

    2. How we use your information

    • To operate and improve the Vows Afar platform.
    • To facilitate wedding planning, guest coordination, and planner collaboration.
    • To send transactional emails (confirmations, schedule updates, access invitations).
    • To respond to support requests.
    • To detect and prevent fraud or misuse.
    • To measure which marketing channels and content help couples find us (attribution analytics, as described above).

We do not sell your personal information, and we do not use it for behavioural advertising or share it with advertising networks.

    3. How we share your information

We share information only in these limited circumstances:

    • Within your wedding — information you add to a wedding hub is visible to the couple, their assigned planner (if any), and invited guests according to the access settings you configure.
    • Service providers — we use trusted third-party services for hosting, deployment, email delivery, and payment processing (including Supabase, Vercel, and our payment processor). These providers act on our instructions and are contractually bound to protect your data.
    • Legal requirements — we may disclose information when required by law, regulation, or valid legal process in Australia or elsewhere.

    4. Data retention

We retain your account and wedding data for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us. Guest data associated with a wedding is removed when the wedding owner deletes their event or account. Where law requires us to retain certain records (for example, tax or financial records), we will retain only what is required for the period required.

    5. Security

We use industry-standard measures to protect your data, including encryption in transit (TLS), encryption at rest, and role-based access controls. No system is perfectly secure, and we encourage you to use a strong, unique password for your account.

    6. Notifiable data breaches

If a data breach occurs that is likely to result in serious harm to individuals whose personal information we hold, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 (Cth).

    7. Your rights

Under the Australian Privacy Principles and equivalent laws in other jurisdictions, you may have the right to:

    • Access the personal information we hold about you (APP 12).
    • Request correction of inaccurate or out-of-date information (APP 13).
    • Request deletion of your data.
    • Object to or restrict certain processing.
    • Export your data in a portable format.
    • Withdraw your cookie consent at any time by clearing the cookie banner preferences in your browser.

To exercise any of these rights, contact us at hello@vowsafar.au. We will respond within a reasonable timeframe (and within 30 days for access and correction requests, in line with APP guidance).

    8. International data transfers

Vows Afar operates globally and uses service providers located in Australia, the United States, and the European Union — including hosted database and authentication infrastructure (Supabase), application hosting and edge delivery (Vercel), and email delivery providers. Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles, as required by APP 8.

    9. AI and automated content tools

Some design and creative assets in Vows Afar — such as card and stationery backgrounds — are produced using third-party generative AI tools. These assets are generated in advance and curated into a library you choose from. We do not send your personal information, wedding content, or guest data to AI providers to create them, and we do not use your data to train AI models.

We do not use AI to make automated decisions that produce legal or similarly significant effects about you. Where AI-assisted imagery appears on the platform or in our own marketing, we aim to label or disclose it consistently with applicable transparency guidance — including the Australian National AI Centre's guidance on AI-generated content — and with the requirements of any advertising platform we use. You can read more about our AI design tools in our Terms of Service.

    10. Children's privacy

Vows Afar is not directed at individuals under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

    11. Complaints

If you have a concern about how we handle your personal information, please contact us first at hello@vowsafar.au so we can try to resolve it. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

    12. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email or a notice on the platform. Your continued use of Vows Afar after changes take effect constitutes acceptance of the updated policy.
